Key Responsibilities
- Serve as the primary point of contact between the department and prospective and exiting manufacturers
- Maintain regular communication with manufacturers to ensure timely receipt and verification of required information and documents
- Verify the authenticity and accuracy of information provided by manufacturers
- Cross-check details with existing records and databases to ensure consistency
- Receive documents submitted by manufacturers
- Ensure that all required documents are received in the correct format and within the specified timelines
- Thoroughly review submitted documents to ensure they meet the requirements
- Identify any missing or incomplete information in the submitted documents
- Request additional documents or information from manufacturers as needed to complete the verification process
- Maintain and update the Preferred Manufacturers List (PML) to ensure compliance with company requirements and standards
- Conduct regular audits of received documents to ensure the currency of information
- Maintain accurate and organized records of all communications and documents received from manufacturers
- Ensure that records are easily accessible for future reference and audits
- Prepare and submit regular reports on the status of document verification and compliance
- Prepare regular reports on PML data
- Highlight any issues or discrepancies identified during the review process and recommend corrective actions
- Collaborate with technical and quality teams to assess the technical capabilities of manufacturers
- Prepare the required registration & revalidation forms of Manufacturers
- Assist in resolving technical disputes between manufacturers and the department
- Execute the Preferred Manufacturers List (PML) section’s processes, procedures, and guidelines, particularly focusing on revalidation and invitation exercises
- Identify areas for improvement in the PML processes
Requirements
- Diploma or equivalent and appropriate education in Computer science/software, clerical activities and document management
- At least 5 years of working experience in engineering-related fields with computer systems, including document management, and advanced knowledge of MS Office applications
- The following skills are required: attention to detail, teamwork, self-motivation, strong communication skills, and verbal and written command of English
- Familiar with terminology and basic technical understanding of the Project Quality Control/Quality Assurance process
