Role Synopsis
The HSE Compliance and Document Controller plays a critical supporting role within the HSE team by ensuring proper documentation, procedural control, and HSE compliance monitoring across all operational activities. This position is responsible for maintaining an effective document control system, recording and tracking risk-related meeting outcomes, facilitating action closure, and supporting data entry and reporting using tools such as Maximo. The incumbent serves as a key link in ensuring clear communication across departments to maintain alignment with the HSE management system and continuous performance improvement.
Key Responsibilities
- Maintain and manage an effective document control system, ensuring HSE-related procedures, standards, meeting minutes, and registers are up-to-date, version-controlled, and accessible
- Support the development, issuance, revision, and retirement of HSE procedures in coordination with relevant stakeholders
- Record risk management meeting notes, track assigned actions to closure, and ensure accurate and timely updates in the action tracking system
- Support compliance reviews and audits by ensuring proper documentation is available and accessible upon request
- Ensure accurate and timely input and maintenance of HSE data and records in Maximo
- Coordinate with internal stakeholders to ensure the timely dissemination of compliance-related updates and procedural changes
- Prepare monthly and ad-hoc performance reports, dashboards, and compliance summaries as required by the HSE Manager
- Assist in driving continuous improvement in documentation quality, action management, and risk communication
- Promote a strong safety culture by ensuring documentation and reporting systems support proactive risk management and transparency
Requirements
- Bachelor’s degree in a relevant field
- Minimum 3–5 years of experience in employee relations, Iraqi regulation & compliance, HSE support, document control, or compliance roles, preferably in the Oil & Gas or industrial sectors
- Familiarity with the admin and documentation process
- Proficient in document control tools and systems; experience with Maximo or similar systems is an advantage
- Good interpersonal and communication skills, both written and verbal, in English
