Job Purpose
To provide administrative, clerical, and coordination support to ensure the smooth operation of the company’s day-to-day activities, maintain organized records, and facilitate communication between departments and external stakeholders.
Key Responsibilities
1. Office Administration:
- Manage all incoming and outgoing correspondence, including emails, letters, and packages
- Translate documents between English and Arabic as needed
- Maintain organized digital and physical filing systems for documents, contracts, and records
- Monitor and manage office supplies and equipment inventory
- Ensure office facilities are clean, functional, and well-maintained
- Assist in preparing and submitting official documents to relevant government authorities
- Track and ensure timely renewal of licenses, permits, and company registrations
- Coordinate with the Public Relations Officer (PRO) and Government Liaison to meet regulatory requirements
- Schedule and coordinate meetings, appointments, and travel arrangements
- Prepare meeting agendas, minutes, and follow-up reports
- Support HR in onboarding new employees (documentation, workspace setup)
- Assist in managing petty cash, tracking expenses, and processing invoices
- Communicate with the Supply Chain department to obtain quotations and facilitate purchases
- Serve as the primary point of contact for internal and external inquiries
- Handle sensitive information with discretion and maintain confidentiality
- Provide general administrative support to managers and team members as required
Requirements
- Diploma or bachelor's degree in business administration, management, or related field
- Previous experience in administrative roles preferred (minimum 5 years of experience)
- Native-level proficiency in Kurdish, with advanced English and Arabic language skills
- Strong organizational and time management skills
- Excellent communication and interpersonal abilities
- Proficiency in MS Office (Word, Excel, Outlook, PowerPoint)
- Attention to detail and the ability to manage multiple tasks and deadlines
- Knowledge of office management procedures and protocols
