Job Purpose
Sales Agent Representative is responsible for supporting the sales department by managing administrative tasks, coordinating order processes, and maintaining accurate sales documentation. The role acts as a bridge between the sales team, customers, and internal departments (such as logistics, finance, and operations) to ensure smooth execution of sales activities. Sales Administrators play a vital role in enhancing customer satisfaction, streamlining workflow efficiency, and enabling the sales team to focus on business development and revenue generation.
Key Responsibilities
- Provide comprehensive administrative and operational support to the sales team
- Prepare, process, and maintain sales quotations, contracts, purchase orders, and related documentation
- Monitor and track sales orders from initiation to delivery, ensuring accuracy, efficiency, and timely execution
- Maintain and update customer information within the CRM system, ensuring accuracy and data integrity
- Liaise with logistics, finance, and operations departments to coordinate seamless order fulfilment
- Respond promptly and professionally to customer inquiries, ensuring issues are resolved or escalated appropriately
- Generate, analyse, and present sales reports, forecasts, and performance metrics to support management decision-making
- Assist in the development and preparation of sales presentations, proposals, and tender submissions
- Support the planning and coordination of sales-related events, exhibitions, and client meetings
- Ensure all sales activities and documentation comply with company policies, procedures, and relevant industry regulations
Requirements
- Bachelor’s degree in Business Administration, Marketing, or a related field (preferred)
- 1–2 years of experience in sales administration, sales coordination, or a related support role
- Strong organizational and multitasking abilities with keen attention to detail
- Proficiency in Microsoft Office Suite
- Excellent written and verbal communication skills
- Ability to work effectively under pressure and meet tight deadlines
- Customer-focused mindset with strong teamwork and collaboration skills
