mselect is looking to hire an Administration Assistant for an international oil and gas operator in Basrah, Iraq. Candidates must have at least 2 - 3 years of relevant experience. Fluency in English and Arabic is a must.

Key Role
The role is to provide full administrative support to the Maintenance & Engineering Manager and the team.

Key Accountabilities
  • Support the Maintenance & Engineering Manager and team, working alongside other administrative and technical support team members
  • Support the M&E Leadership Team based in Basra
  • Act as translator/interpreter as required
Coordinating meeting requirements, which can include:
  • Arrangement of conference rooms, equipment and catering
  • interaction with both internal and external attendees
  • tracking of confirmed attendees
  • agenda distribution, minute taking and circulation
  • Organising associated transport requirements
  • Building and maintaining excellent working relationships worldwide with staff, particularly in Iraq and UK
  • Coordinating the management of Maximo DR approvals and authorisations
  • Organise Team Events, town halls and activities
  • Project Manager for small ad hoc projects, typically with focus on documentation or team and office management (including building moves, and improving working environment)
  • Creating and/or editing reports and presentation materials
  • Message handling: processing of messages, including action or progressing with others in the absence of the recipient.
  • Ensuring that new team members are on-boarded appropriately, by liaising with IT to ensure new joiners have necessary equipment
  • General office admin: log IT requests and faults, order stationery, meet guests, photocopying, sending faxes, ensuring visitors to the team are escorted as necessary

Criteria & Qualifications
  • Degree level English language
  • Skilful application of MS office programmes
  • Ability to work without supervision, assess requirements and taking action under own initiative
  • Open and communicative style, with the ability to listen and sensitivity to working with diverse cultures
  • Ability to deal with internal and external contacts at all levels
  • Excellent interpersonal and networking skills
  • Strong follow-through and completion of assigned tasks
  • Ability to handle sensitive information and maintain confidentiality
