MSELECT is looking to hire a Site Document Controller for an international oil and gas operator in Kurdistan. Candidates must have a minimum of 5 years of relevant experience in the oil & gas industry and be fluent in English, Kurdish and Arabic.
 
JOB OBJECTIVE
Assist the projects department in daily operational and administrative activities. Provides a wide range of supports to all projects team. Responsible for recording and archiving all projects related documentations, communications, and files.
 
Key Responsibilities:
  • Implement a set of key procedures and specifications governing the document control process, including document control procedure, document numbering specification, correspondence procedure, archiving specification, translation procedure and other documentation together defining the Document Control framework for asset/project
  • Execute archiving and management of documents during the asset operations
  • Confer with document originators to resolve discrepancies and complete required changes
  • Create and maintain document distribution matrix. Distribute documents to project personnel, as appropriate
  • Ensure quality/compliance of asset document management plans and process, as well as alignment with Company standards and requirements
  • Ensure that all project documents are checked and submitted before submission due date
  • Catalogue and store hard copies and electronic copies of all project documentation - technical drawings, reports, and related information - in an orderly manner within asset, project, and from / to contractors or vendors
  • Implement solutions that educate and encourage internal and external stakeholders to become more collaborative and contribute to the project value
  • Prepare and issue document reports (monthly contractor master document register status / progress / forecast, weekly company document review statistics)
  • Work with precision to ensure that all electronic and hard copy filing is accurate and is easily retrievable
  • Ensure an efficient communication with asset, internal and external team
  • Maintain Deliverable files in hard-copy and electronic retention systems, as required
  • Ensure asset participants are trained in application of document control system
  • Manage assets DC KPIs around document review cycles as part of the asset assurance framework
  • Drive improvements within the Document Control scope through leadership, standards, and behaviors
Reporting and Communication:
  • Reports to Civil Construction Manager on all issues relating to the role
  • Maintains and exhibit an excellent working relationship with all Company staff
Continuous Improvement of Position:
  • Identifies and implements improvements and/or modifications to routine work in order to ensure the highest standards of support to the department and the company as a whole
  • Assists in various other departmental matters as assigned from time to time as required by the Direct Supervisor
 
KEY REQUIREMENTS
 
Minimum Educational, Technical Qualifications/Certifications Required:
  • Degree in document control systems preferred/ or any other related BSc
Minimum Professional Experience Required:
  • Minimum of 5 years of relevant experience in document management roles on site
Special Requirements and Conditions:
  • Experience working with document management systems (EDMS) Experience in ASSAI preferred
