Job Purpose
An established educational institute is seeking an Admin Manager to oversee daily administrative operations and ensure effective coordination among students, parents, teachers, and internal staff. The ideal candidate will be professional, ethical, and proactive, with a strong commitment to maintaining high service standards while supporting the institute’s continued growth.
Key Responsibilities
Administration & Operations:
- Supervise daily office activities, including the lab, teaching rooms, cafeteria, and garden
- Always ensure cleanliness and professional presentation (coordinate with the cleaner and cafeteria staff)
- Procure and manage supplies (stationery, lab materials, utilities)
- Manage documentation of policies and internal records
- Support the recruitment, interviewing, and onboarding of new teachers and staff
- Handle teacher administrative issues, including lateness, leaves, and performance concerns
- Foster a professional, respectful, and productive work environment
- Oversee the communication process with students and parents regarding administrative matters
- Ensure a clear explanation of the Client’s policies when needed
- Supervise the front desk team in managing scheduling and financial follow-ups via WhatsApp and calls
- Step in to resolve concerns related to administration as required
- Oversee session financial recordings in the Client’s web app
- Supervise front desk follow-ups on payments and session scheduling
- Monitor the online system and resolve admin-related issues when needed
- Assist in promoting the Client’s services and teachers on social media (in collaboration with the marketing expert)
- Support the organization of student events and help strengthen ties with the international school community
Additional Responsibilities:
- The front desk officer assists with calls, texts, financial follow-ups, and scheduling The Admin Manager supervises and supports this process, but does not necessarily handle it directly
- The role does not involve dealing with technical education matters but focuses on administration, logistics, and people management
- The institute operates year-round under a busy academic calendar, requiring team members who thrive in a dynamic and continuously active environment While standard leave policies are in place, flexibility is essential in this service-focused role The Admin Manager will have the opportunity to grow professionally within the organization, building strong connections with students, parents, and the broader educational community
Requirements
- Experience: Previous experience in administration, HR, or education management
- Personality: Ethical, trustworthy, detail-oriented, presentable, proactive, and committed to high service standards
- Skills: Strong organizational and people management skills, tech-savvy (Google Sheets, WhatsApp, web apps)
- Leadership: Able to oversee and coordinate with the front desk staff, teachers, and support workers
